How to Export and Format Contacts from Gmail

These instructions will help you to save all of the information from contacts that you have interacted with through your AIPR email into a useful spreadsheet which we can use to improve the distribution of our communications materials. All of the pictures below can be clicked in order to view a larger version. Step One ------------------------------------------------------------------------------------------ Open your Gmail account in any web browser. Under the AIPR themed picture in the top left of the window will be a button labeled "Mail" as in the picture above. Click it, and then select "Contacts" from the drop-down menu. Step Two (Optional) ------------------- On the Contacts page, move your mouse into the left column to reveal the entirety of the contents and to move the Gchat window out of the way. Select the "Other Contacts" option from the list. From here, you are able to add, delete, and/or modify contacts directly in the Gmail window, if you prefer, to avoid doing so in a spreadsheet later. Step Three ---------- Click the "More" button (located above the list of contacts) and select "Export..." from the list. Next, find the downloaded file either in your browser or by using Finder (OSX) or Explorer (Windows), and open it in Microsoft Excel. Step Four --------- A pop-up window like the one pictured above will appear. Be sure to select "All contacts" from the first field and "Google CSV" from the second. Then click "Export" to download a spreadsheet file containing your contacts. Step Five (a) ------------- Many modern version of Excel will automatically detect the fact that the file you have opened is not in Microsoft's preferred format. If so, you will be greeted with a window like the one above. Be sure to select "Delimited" (as opposed to "Fixed Width") as the "data type", and click "Next >". Step Five (b) ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- If your version of Excel doesn't automatically detect the formatting discrepancy, simply select the first row of the spreadsheet (by clicking on the header of the first column ("A"), then select "Data" from the top ribbon and click "Text to Columns", located directly below. The should result in a window similar to the one described in Step Five (a), above. Select "Delimited" (as opposed to "Fixed Width") as the "data type", and click "Next >". Step Six -------- Select "Comma" in the "Delimiters" field and then select "Finish" at the bottom of the window. This should result in Excel generating a formatted spreadsheet containing your contacts. At this point, you may edit the information contained in the sheet. Feel free to delete blank columns and/or those containing non-essential information (i.e. anything other name First Name, Last Name, Work Email, etc.). If you want to sort your contacts into two or more groups, simply use a blank column to type in a unique character or word for each group (the word or character does not matter as long as it is the same for each member of the group). This will allow them to be sorted together. **Congratulations!** You should now have a cleanly formatted spreadsheet containing your AIPR contacts.
